Working with AccountRight libraries

How do I work with libraries in the new AccountRight?

An AccountRight library is a defined location where AccountRight company files need to be stored. An AccountRight library can be located:

  • on your computer (called My library)
     
  • on a network computer (called Network Libraries), or
     
  • online (only available with an AccountRight Live subscription).
     

Storing company files in a library makes them easier to manage. Because AccountRight knows where your file is, you won’t need to find your file to open or upgrade it, and you won't need to update shortcuts when updates are installed.

Finding your AccountRight library

If you do not store your company file online (available when you subscribe to AccountRight Live), the company file must be saved in My Library or in a Network Library.

 

My library

This library is located on your computer, in the My AccountRight Files folder, which is created when you install AccountRight. The table below shows the defualt location of the My AccountRight Files folder on your computer. If you've moved your AccountRight library to a different location, your library will be in that location instead.

 

If you're using this AccountRight version:

The 'My AccountRight Files' folder is here:

2014.1 or later*

*If you've upgraded from 2013.5 or earlier, your 'My AccountRight Files' folder will be in the same location as your previous version - see below.

C:\Users\<user.name>\My Documents\MYOB\My AccountRight Files

(<user.name> is the name of the user currently logged into Windows, e.g. John.Smith)

2013.5 or earlier

Windows Vista, Windows 7, Windows 8, Windows Server 2008:
C:\Users\Public\Public Documents\MYOB\My AccountRight files

Windows XP:
C:\Documents and Settings\All Users\Shared Documents\MYOB\My AccountRight files

 

Note: If several people use AccountRight on the same computer, by default the AccountRight library will be stored under each user's My Documents folder as shown above. If you want your AccountRight library to be in a different location, see our support note Moving your AccountRight library to a new location.

Save your company file in the above location if you don't want it online, or used in a network.

 

 

Network Library

This library is located on another computer in your network (usually referred to as a server), in the My AccountRight Files folder on that computer (refer to locations above). You might choose to store your company file in a network library so others in the network can access it. For information about accessing a network library, see Adding a network library. Note that a network file can only be accessed by one user at a time.

For AccountRight 2014.1 and later, the computer hosting the networked company file will need the AccountRight Server Edition installed.

Opening files stored in a library

  1. Open AccountRight to display the Welcome window, then click Open.
     
  2. In the Library Browser window, click My Library. The list of company files that you can access appears in the Company files in My Library list (including the sample company files). These are the company files you have in your AccountRight library as described in Finding your AccountRight library.

  3. Double-click the company file you want to open, or select it and click Open. The Sign on window for the company file appears.
     
  4. Sign on with your company file user ID and password. The Command Centre appears. You can now work on the company file.

 


Opening files stored online (AccountRight Live only)

When a company file is online, also known as being 'in the cloud', you can access it from any computer that has a compatible version of AccountRight installed. For information on setting up your company file for online access, see our support note setting up a file for online access.

  1. In the Library Browser window, click Online.

  2. Log in to AccountRight Live using your my.MYOB email address and password. The list of online company files that you can access appears in the Company files online list.
     
  3. Double-click the company file you want to open, or select it and click Open. The Sign on window for the company file appears.
     
  4. Sign on with your company file user ID and password. The Command Centre appears. You can now work on the online company file.

Opening files stored on another computer (in a network)

If the company file you want to open is located on a networked computer, you need to:

  • install the same version of AccountRight on the networked computer. From AccountRight 2014.1 onwards, you'll need to install the AccountRight Server Edition on any computer which is hosting a company file which needs to be accessed from another computer.
     
  • add the library for the networked computer to your AccountRight library (it’s similar to creating a shortcut to the library on that computer).

 

Once added, you can access any AccountRight company files on that computer in the same way you open files in your local library. Note that a network file can only be accessed by one user at a time.

  1. In the Library Browser window, click Network Libraries. The network libraries that you have added are displayed below the Network Libraries button (see example above).

  2. Select a network library. The company files that you can access in this network library are listed (including the sample company files).
     
  3. Double-click the company file you want to open, or select it and click Open. The Sign on window for the company file appears.
     
  4. Sign on with your company file user ID and password. The Command Centre appears. You can now work on the online company file.

 

AccountRight libraries can be accessed from any computer in your network that uses the same version of AccountRight. Note that the file can only be accessed by one user at a time.

Note for installing AccountRight on a server:  Servers are built with security in mind and require full administrative access to undertake software installations. Due to this and the need to configure the server's firewall, it is recommended to seek the assistance of an IT professional if installing AccountRight on a server. From AccountRight 2014.1 onwards, you'll need to install the AccountRight Server Edition on any computer which is hosting a company file which needs to be accessed from another computer.


Adding company files to a library

 

A company file must be stored in an AccountRight library before you can open it. If the company file is on a USB drive, CD, or another location, you need to add the company file to your AccountRight library, or to a library on another computer. Unless you do so, the company file will not be accessible.

 
  1. Start AccountRight and click Open a company file. The Library Browser window appears.
     
  2. Click a library option on the left then click Add a company file to this library. The Add a company file to this library window appears.
     
  3. Locate the company file you want to add to the library. Note that only company files that have been upgraded for use with your version of AccountRight and have the "myox" file extension can be added.
     
  4. Click the company file then click Open.
     
  5. Click OK to the displayed message advising that the company file will be copied to the AccountRight library. The company file will be added to your AccountRight library.

    You can now open the company file by clicking it and clicking Open.

 

Note: Company files marked as "Read Only" cannot be added to the AccountRight library. To check if the company file is "Read Only":

  1. Simultanously press the Windows and E keys on your keyboard (the Windows key is between theCtrl and Alt keys). The Windows Explorer or Computer window appears.
     
  2. Locate the company file you want to add to the AccountRight library. The file will have a ".myox" file extension, such as "MyCompanyFile.myox".
     
  3. Right-click the company file and choose Properties.
     
  4. Ensure the Read Only option is not selected.
     
  5. Click OK. The company file can now be added to the AccountRight library.

Adding folders to your AccountRight library

To help you further organise multiple company files, new folders can be created within the My AccountRight Files folder using Windows Explorer. Only folders in this location will be visible and accessible from your AccountRight software.

  1. Simultanously press the Windows and E keys on your keyboard (the Windows key is between theCtrl and Alt keys). The Windows Explorer or Computer window appears.
     
  2. Navigate to the My AccountRight Files folder. See Finding your AccountRight library above for help finding this folder on your computer.
     
  3. With the My AccountRight Files folder open, right-click in an empty space in the right-hand panel of the Windows Explorer window and choose New then choose Folder. A new folder appears with the name New Folder.
     

  4. Rename the folder as required. See our example below.

    Note: You can rename a folder at any time by right-clicking the folder and choosing Rename, then typing the new name.

 

Company files can now be saved in this new folder. As shown in the example below, the new folder will be available when opening a company file.

Adding a network library

If the company file you want to access is located on another computer, you will need to add a network library in order to access those company files.

Notes:

  • If your network operates through a proxy server, you will need to modify an AccountRight configuration file on each computer which has AccountRight installed. See Accessing network libraries via a proxy server for more information.
  • From AccountRight 2014.1 onwards, the computer containing the network library (which other computers will connect to) must have the AccountRight Server Edition installed.
     
  • You will need to know the computer's network address. This could be the computer name you see in Windows when browing your network (e.g. John’s Computer), or the computer’s IP address (e.g. 192.168.0.5). Note that if the computer uses a dynamic IP address, you should use the computer's name instead. You can find a computer’s name by viewing the System Properties window (right-click the My Computer icon on the desktop or Start menu, and choose Properties), or by opening the System control panel.


To add a network library

 
  1. From the AccountRight Welcome window, click Open a company file. The Open a company filewindow appears.
     
  2. Click Network Libraries then click Add a network library. The Add a network library window appears.
     
  3. In the Name field, enter the name for this network library. This will enable you to identify the network library.
     
  4. In the Address field, enter the network address of the computer where the library is located. This can be the computer's name or static IP address.

    Note: To find the computer name, view the System Properties window on the computer you want to add, or open the System control panel.
     
  5. If the default port number cannot be used, click Advanced and enter the port number to use.

    Note: You should only change the default port number (6961) if it is already being used. For help, speak to your network administrator.
     

  6. Click OK. The network library will be created.
     

Files can now be added to this library as described in Adding company files to a library.


Accessing network libraries via a proxy server

The instructions below are intended for people with a thorough knowledge of proxy servers. We recommend that these steps be performed by an IT professional.

If your business operates with a proxy server, you will need to modify an AccountRight configuration file to allow your network libraries to be accessible. You will need to perform the steps below on each computer in your network which has AccountRight installed*.

*Note: The following steps are NOT required on computers running the PC Edition of AccountRight 2014.1 or later.

 

  1. Close AccountRight.
     
  2. Simultanously press the Windows and E keys on your keyboard (the Windows key is between theCtrl and Alt keys). The Windows Explorer or Computer window appears.
     
  3. Navigate to the AU folder at C:\ProgramFiles\MYOB\AccountRight\20XX.X\AU (where 20XX.X refers to your AccountRight version).

    On a 64-bit version of Windows the location will be C:\ProgramFiles (x86)\MYOB\AccountRight\20XX.X\AU

  4. In the AU folder, locate the file Huxley.Application.exe.config.
     
  5. Configure the defaultProxy settings:
     
  1. Open the Huxley.Application.exe.config file using Notepad.
     
  2. Find the system.net section (click Ctrl-F and enter 'system.net' in the Find window).
     
  3. Ensure the highlighted line shown below exists in the file. If it doesn't, add it.

    <system.net>
    <connectionManagement>
    <add address="*"
    maxconnection="30" />
    </connectionManagement>
    <defaultProxy useDefaultCredentials="true" />
    </system.net>

  4. Save the changes you've made to the file and close it.
     
  1. If your proxy server requires authentication, check that it allows the LocalSystem user to access it.
     
  2. Restart the MYOB AccountRight Server 20XX.X windows service:
     
  1. Click the Windows Start button and go to Control Panel > Administrative Tools > Services.
     
  2. Select the MYOB AccountRight Server 20XX.X service.
     
  3. Right-click it and select Restart.
     
  1. Start AccountRight. You should now be able to add a network library as described in Adding a network library.
     
  2. Repeat the above steps on all computers in your network which have AccountRight installed.

Creating a shortcut to your AccountRight library on your Desktop

To provide quick access your AccountRight library, you can create a shortcut on your desktop as follows:

  1. Simultanously press the Windows and E keys on your keyboard (the Windows key is between theCtrl and Alt keys). The Windows Explorer or Computer window appears.
     
  2. Navigate to the My AccountRight Files folder. See Finding your AccountRight library above for help finding this folder on your computer.
     
  3. Right-click the My AccountRight Files folder and choose Send to then choose Desktop (create shortcut). A shortcut to your AccountRight library will appear on your desktop.

Deleting a company file from your library

  1. Simultanously press the Windows and E keys on your keyboard (the Windows key is between theCtrl and Alt keys). The Windows Explorer or Computer window appears.
     
  2. Navigate to the My AccountRight Files folder. See Finding your AccountRight library above for help finding this on your computer.
     
  3. In the My AccountRight Files folder, right-click the company file you want to delete and chooseDelete.


Removing a company file from the 'Recently opened company files' list

If you want to remove a file from the Recently opened company files list on the Welcome window (perhaps after deleting or renaming a file), complete the following:

  1. Open AccountRight.
     
  2. On the Welcome window, right-click the company file to be removed from the Recently opened company files list and choose Remove from list.

 

The company file will be removed from the list. Note that this will not delete the company file.
